Context
The Logistics department in Kampala has three core staff, the Logistics Coordinator and two Supply & Logistics officers who are tasked with coordinating and ensuring procurements of goods and supplies in the country is efficiently done. Procurements of certain thresholds (above 20M) from the field offices are escalated to the Country office for processing, hence the consolidation of the procurements.
The Logistics department is not only engaged with procurement, but also fleet management, security as well as assets management. In order to efficiently manage processes, the department requires extra hands to carry out non-core duties that would otherwise be done by the thin team of three people hence the need for temporary support.
Objective of the position
Capture data in the right document and save it in the right folders following the criteria provided this will contribute to Oxfam in Uganda’s work to find lasting solutions to extreme inequality and injustice.
Key Responsibilities
- To ensure efficient data management, begin by capturing data accurately and storing it in the designated documents and folders according to the specified criteria. This systematic approach guarantees that each piece of information is filed correctly and can be easily retrieved when needed.
- Make sure to return all bid documents to storage in an organized manner, allowing for easy future reference and review. This meticulous handling of documents not only supports current projects but also aids in future bidding processes.
- Compile and submit a comprehensive spreadsheet that includes all relevant data. This spreadsheet should be ready for thorough review, analysis, and adoption, facilitating informed decision-making and strategic planning. Such detailed and organized documentation supports both current operations and long-term objectives.
Who are we looking for?
Of course, You are a recent graduate with one year of experience in data entry, and you possess an academic background in logistics and supply chain management or related field. Your education and hands-on experience make you well-equipped for roles requiring precision and organizational skills in data management. You have strong organization and problem-solving skills, you are able to maintain and keep track of tasks, and you know how to prioritize. You are confident in your tasks and are able to carry it forward to the team, you're not afraid to address and motivate others for the purpose of improvements. Additionally, you recognize yourself in the following description Good understanding and experience of project/program management cycle, and participatory appraisal techniques.
